Every installer, PDF, screenshot, and photo you've ever downloaded ends up in the same folder. After a year it holds thousands of files, a few gigabytes of old disk images, and the one invoice you actually need.
You don't need an app to fix it. Finder can sort the mess in a minute, and a few settings stop it coming back.
Step 1: See what's in there
- Open Downloads in Finder and switch to list view with View → as List.
- Choose View → Use Groups, then View → Group By → Kind. Disk images, PDFs, images, and archives each get their own section.
- Choose View → Show View Options and turn on Date Added and Size, so you can see when each file arrived and how much space it takes.
Grouping by Date Added instead shows the oldest downloads together, which is where most of the clutter lives.
Step 2: Clear out what you don't need
- Installers and disk images (
.dmg,.pkg): once an app is installed, these are safe to delete, and they're often the biggest files. - Archives (
.zip): if you already opened the ZIP and kept what was inside, the archive can go. - Old files: sort by Date Added and review anything older than a month.
To find the biggest space-wasters across your Mac, open System Settings → General → Storage and click the info button next to Documents. It lists large files and has a Downloads view. Deleted files go to the Trash, and Finder can empty it for you: Finder → Settings → Advanced, then turn on Remove items from the Trash after 30 days.
Step 3: Move what matters to a real home
Downloads is an inbox, not a filing cabinet. Move what you keep into folders you'll look in later: invoices into Documents → Finances, photos into Pictures, work files into their project folder.
Downloaded files often have names like document (3).pdf or IMG_4821.jpg. Rename them as you file them so they're easy to find; for many files at once, see how to batch rename files on Mac.
Step 4: Stop files landing in Downloads
- Safari: Safari → Settings → General. Set File download location to Ask for each download, so you choose a folder every time.
- Chrome: Settings → Downloads, then turn on Ask where to save each file before downloading.
Asking every time takes a second per download and saves the clean-up later. If that feels like too much, keep Downloads as the default and use the automatic sorting below.
Step 5: Sort new downloads automatically
Automator, which comes with every Mac, can watch Downloads and move certain files as they arrive. For example, to move every new image to Pictures:
- Open Automator, choose New Document, then Folder Action.
- At the top, set Folder Action receives files and folders added to your Downloads folder.
- Add the Filter Finder Items action and set it to Kind is Image.
- Add Move Finder Items and choose Pictures (or any folder).
- Save it as "Sort downloaded images".
Make one per file type you want to route, such as PDFs to Documents. You can turn a Folder Action off again by right-clicking Downloads and choosing Services → Folder Actions Setup.
